Position Summery

The Director of Studio Operations will help lead and optimize the day-to-day operations of our growing residential architecture firm.

This is a leadership role focused on firm performance, team utilization, scheduling oversight, operational strategy, and business management. The ideal candidate is highly organized, analytical, proactive, and capable of helping ownership make informed operational and financial decisions as the firm continues to grow.

This individual will work directly with the Owner, Studio Production Lead, and Director of Sales & Marketing to ensure the studio is operating efficiently, projects are properly staffed, and business operations remain aligned with firm goals.

Studio Operations and Resource Management

  • Manage and oversee project scheduling, staffing allocations, and team utilization using the firm’s project management software

  • Monitor employee workloads and capacity to identify staffing gaps, operational bottlenecks, and future hiring needs

  • Coordinate production schedules and staffing priorities with studio leadership

  • Help maintain operational efficiency across active projects and internal workflows

  • Assist in developing systems, reporting tools, and operational standards as the firm continues to scale

Financial Oversight and Business Performance

  • Track project budgets, consultant coordination, and overall project performance metrics

  • Review operational and financial performance with ownership to ensure the firm is operating efficiently and profitably

  • Assist with fee tracking, invoicing coordination, forecasting, and resource planning

  • Help monitor firm utilization rates, staffing efficiency, and workload forecasting

  • Support leadership in making informed operational and financial decisions

Leadership and Team Development

  • Collaborate directly with ownership and leadership on strategic planning and growth initiatives

  • Participate in recruiting, interviewing, onboarding, and team development efforts

  • Help identify staffing needs based on current and projected workload

  • Support the development of a strong operational culture centered around accountability, communication, and organization

  • Work closely with the Studio Production Lead and Director of Sales & Marketing to align staffing and operations with firm growth

Contracts, Systems and Administrative Leadership

  • Assist with contracts, proposals, consultant coordination, and operational documentation

  • Help oversee and improve internal project management systems and processes

  • Maintain organization and visibility across schedules, budgets, staffing, and project workflows

  • Ensure operational systems are supporting both leadership and production teams effectively

  • Contribute to the ongoing refinement of studio standards, procedures, and internal coordination processes

Qualifications

  • Strong organizational, operational, and leadership skills

  • 5+ Years Experience managing operations, staffing, scheduling, utilization, or business performance within an architecture, engineering, construction, design, or professional services environment preferred

  • Ability to analyze workload, team capacity, project timelines, and operational performance metrics

  • Comfortable working directly with ownership and leadership teams in a fast-moving entrepreneurial environment

  • Experience with project management software, operational reporting, budgeting, and resource planning

  • Strong communication, decision-making, and problem-solving abilities

  • Highly proactive with strong attention to detail and follow-through

  • Base salary: $90,000 – $115,000, depending on experience  

  • Performance bonuses tied to revenue growth and signed contracts
